Payment and Cancellation

Payment and cancelation terms vary by tour. Please review the specific tour details or contact us for the applicable terms.

Your Vacation Booking

For the purposes of this document, "you" or "your" includes all guests in your travel party. Wherever Tours is the 'Sales Company' and the 'Operator' for the trips. Collectively, these entities are referred to as 'Wherever Tours' or the 'Provider'.

Your agreement is with Wherever Tours, and a contract is formed when you make a reservation that we accept. Enrolling in and paying for a guided trip constitutes acceptance of these terms and conditions. These terms can only be modified in writing by an authorized representative of Wherever Tours.

All contracts with Wherever Tours are subject to these booking conditions, including the Important Information provided.

We reserve the right to change these booking conditions at any time before you make a booking.

If any provision herein is invalid, it shall not affect the validity of other provisions. The agreement will be interpreted as if the invalid provision were replaced with an enforceable provision as similar as possible to the original. In case of conflict between these booking conditions and those in our brochures, these booking conditions prevail.

Departure Date

The departure date is the date specified on your booking confirmation.

Security

Security is a priority, and the global situation is constantly evolving. Events worldwide, along with "Travel Advisories" issued by governments, may necessitate changes to accommodations, itineraries, or even trip cancellations. You acknowledge the risks associated with travel to any country and accept responsibility for your travel decisions.

Travel Insurance

Travel insurance is strongly recommended for all guests, covering all applicable travel dates. This insurance should include trip interruption, personal injury, medical expenses, evacuation, and repatriation coverage, including during pandemics. The choice of insurer is yours.

Travel insurance availability and coverage vary. Refer to our website or contact your reservation agent for the latest information. We may receive a commission for introducing you to a travel insurance provider.

We are not responsible for your failure to obtain adequate travel insurance. We recommend purchasing insurance at or soon after booking your trip. We will not be liable for any costs you incur due to inadequate insurance, except in cases of our negligence.

COVID-19

COVID-19 refers to the coronavirus disease and all its variants.

Exposure to COVID-19 is an inherent risk in public spaces. It's a contagious disease that can lead to severe illness and death. We may require proof of vaccination or negative COVID-19 tests. Refer to our website for current requirements and information or consult your national authority for overseas travel advice.

COVID-19 requirements vary by location. We may require vaccination proof, including booster doses, and/or negative COVID-19 tests, regardless of destination requirements. Airlines, hotels, and other providers may have additional requirements. You're responsible for compliance. No refunds will be given for non-compliance or failed tests. Some countries may impose quarantine or self-isolation, and you're responsible for any additional costs.

Take personal responsibility for your well-being. Pack necessary protective equipment and sanitizers. Practice physical distancing and hygiene, and follow health instructions from our staff. By traveling with us, you assume all COVID-19 exposure risks. See our website for hygiene protocols.

If you test positive during your trip, comply with local regulations, which may include isolation. We may prevent you from continuing the trip if your health endangers yourself or others.

If you cannot travel or must curtail your trip, our cancellation charges apply. We are not responsible for curtailment costs, missed transport, additional accommodation, or other associated costs. Ensure your travel insurance covers these.

Force Majeure

A "Force Majeure Event" is any event beyond our control, including but not limited to:

Natural disasters (earthquakes, floods, etc.) Industrial disputes or labor issues Terrorism, political unrest, war, or civil strife Transportation failures or delays, airport/port closures Pandemics, epidemics, or health risks Government actions (border closures, travel restrictions)

Reservations and Payments

Your trip is confirmed upon receipt of a non-refundable deposit as detailed in the Payment & Cancellation Table. We may refuse bookings without reason and will return any deposit. Reservations not paid within 3 business days are automatically canceled. Some departures may require deposits at booking to hold seats.

Air-inclusive bookings may require an additional non-refundable deposit or full payment at booking. See the "Flight Reservations, Deposits, and Cancellations" section.

We may offer reduced deposits (Promotional Deposits) with different terms and conditions, which prevail in case of inconsistency.

Final payment is due before departure, as detailed in the Table. For multiple trip bookings, full payment is due for all trips based on the first departure date. Reservations made after the final payment due date require full payment at booking. Special promotions may have different deadlines and terms.

Failure to pay by the due date will result in a reminder. You're responsible for late payment costs imposed on us by suppliers. Non-payment within 72 hours of the reminder is considered a cancellation.

We reserve the right to cancel your reservation and impose cancellation charges for non-payment. We are not responsible for lost land or air reservations.

Credit Card Bookings

Provide your credit card number when booking directly with us. For security, we collect the billing address, expiration date, and verification code for each payment.

Travel agents hold all monies until booking confirmation, then promptly provide them to us. You consent to us depositing received monies as required by law. We retain any interest earned.

Booking Changes

Name Changes and Corrections

We don't charge for name changes or corrections, but any third-party costs are passed on to you. Some airlines don't allow changes, requiring new airfare purchases at your expense.

Other Booking Changes

We don't charge for minor booking changes, but any third-party costs are passed on to you. Costs may increase closer to departure. We'll try to accommodate change requests, but it's not always possible.

Deposit Protection

If you cancel before final payment, you'll receive a credit of $200 per person (or your tour-only deposit, whichever is less), valid for five years. This credit applies only to future final payments, not deposits, and is limited to one per person per booking.

Cancellation and Refunds

Cancellation by Traveler

Any party member's travel arrangements can be canceled anytime in writing by the person who made the booking.

Cancellations before final payment forfeit the deposit and Travel Protection payment. Cancellations after final payment incur fees (see Table), representing costs less expected recoveries. See also the "Air Changes or Cancellation" section.

Written cancellation notice must be sent directly to us or through your travel agent. Refer also to our Travel Protection.

If a cancellation causes a room change (e.g., double to single), the remaining party is responsible for the new room type charges.

Failure to join the trip on departure incurs 100% cancellation fees, unless you notify us of the delay and join later at your own expense.

Cancellation fees apply to additional accommodation, transfers, itinerary extensions, or cruises booked through us.

Cancellation fees include unrecoverable third-party costs (e.g., airlines, hotels). Refunds for third-party payments are net of cancellation fees and after actual recovery.

Cancellation fees are additional to any travel agent fees.

Travel Protection Plan premiums are non-refundable.

If your cancellation is covered by insurance, you may reclaim charges from your insurer. You're responsible for the claim, and we'll provide supporting documentation.

Cancellation by the Provider

We reserve the right to modify or cancel any trip, accommodation, activity, or arrangement at any time.

Cancellation due to Failure to Pay

Non-payment by the due date results in cancellation without refund. We are not responsible for lost reservations.

Cancellation due to Force Majeure Events

If we cancel due to a Force Majeure Event, you'll receive a future travel credit (FTC) for funds paid, less unrecoverable third-party costs. FTCs are valid for 24 months.

If a tripis terminated mid-trip due to a Force Majeure Event, you'll pay for any alternative services or assistance we provide.

Cancellation due to Events Other Than Force Majeure

For cancellations not due to Force Majeure, we'll provide a comparable trip if available, or a refund if not. We're not liable for cancellation or change costs on other travel arrangements, including air travel.

We are not responsible for other travel arrangements you've made that are affected by our cancellations.

Early Return, Illness, or Absence

Early return expenses are your responsibility, unless due to our negligence. There's no refund for absence or early departure, including missed hotels, transfers, meals, sightseeing, cruises, or extensions. We urge you to purchase travel insurance covering such circumstances. We make no representations or guarantees about insurance reimbursement, coverage, or claims.

Flight Reservations, Deposits, and Cancellations

Reservations/Ticketing

Air-inclusive bookings and some intra-trip flights require an additional non-refundable deposit, potentially up to 100%, at booking.

For air reservations made by us, full payment may be required at booking. Upon full payment, airfare, taxes, and fuel surcharges are final, regardless of future price changes. When booking trips with flights, provide full passport names, passport numbers, nationalities, and issue dates/places for all guests at booking.

We don't hold air seat allocations; flight reservations are on request and subject to airline terms. Flight itinerary changes and name changes/corrections may not be allowed or may incur airline fees, which are your responsibility.

Airlines and other travel providers, including us, may change prices and routes. All air routings are under airline control and subject to change.

Air Changes or Cancellation

After deposit, changes incur a service fee plus any airline fees, potentially up to 100% of the air ticket price. Some airfares are non-refundable.

Not showing up for your outbound flight is a no-show, canceling all connected flights, including the return, with no refund.

Financial Protection

Wherever Tours maintains financial protection measures to safeguard your payments in the unlikely event of our financial insolvency. Please refer to our website or contact us for specific details about the financial protection plan applicable to your booking.
